Privacy Protection Policy
Canada's new privacy law protects your personal information
On January 1, 2001, the Canadian federal government enacted a new personal privacy law. The Personal Information Protection and Electronic Documents Act (PIPED) was created to ensure all Canadians' basic right to privacy is upheld. The Act covers personal information about an identifiable individual regardless of how the information exists.
At Air Canada, we know the importance of protecting the privacy of the individual. We have developed a Privacy Protection Policy of which the objective is to specify the guidelines for governing the collection and use of personal information by Air Canada.
The law impacts the way AC does business with its partners, customers and employees. AC has appointed a Manager of Privacy Compliance whose role is to ensure the company's compliance with the legislation, communicate requirements of the legislation and handle request for information.
Air Canada's Privacy Protection Policy
Using personal information responsibly
At Air Canada we understand the importance of privacy to the individual. We know that earning the trust of our clients and employees is a permanent and ongoing endeavour. With the growth of electronic media it is necessary to take further steps in protecting the privacy of the individual. We fully support the new Canadian legislation, the Personal Information Protection and Electronic Documents Act, in its role to protect the privacy of the individual. Our role in protecting an individual's privacy does not stop with this Act. We are continually looking for additional ways to ensure that the personal information we hold is secure and used in a responsible and respectful manner.
As such, we have appointed a manager responsible for personal information whose role is to make sure that the personal information entrusted with us is secure and will not be used for purposes other than what is necessary to offer the service our clients deserve.
Where and why we collect personal information
You can purchase airline tickets, or make a flight booking, by contacting our reservations call centers, by going directly to one of our ticket offices, by visiting our website or by going through an IATA accredited travel agency. In order to purchase an airline ticket or hold a flight booking, there is basic information we require. This information is necessary in order to identify you, contact you, or process your purchase. These may include:
To make your experience with us more enjoyable we offer customized services. To do this, we need more information than is required for a standard travel booking. Here are the services we offer and a description of the information we need to fulfill the requirements of these services.
Special Meals
We understand that many people want to or are required to follow a specific diet. We try to accommodate these choices or needs as much as we can so that when you fly with us you can maintain your daily routine as much as possible. To accomplish this, your meal preference needs to be recorded in your travel booking. This information is then transferred to the applicable catering service as well as the flight crew. In certain airports the ground handling is outsourced to another airline. In this situation, we need to transfer your information to the handling airline. Should you need to transfer from an Air Canada flight to another airline, your special meal request will be transferred - where the service is available.
Special Offers / Discounts
We offer special discounts to children / infants and seniors (Canada domestic and Transborder). To assess your fare eligibility and process your ticket correctly, we need to record your date of birth at the time of booking. At the airport, for verification, you are required to present personal identification with your date of birth. Should your travel require that you transfer to another airline, your date of birth will also be transferred to that airline in order that you benefit from the discount in question.
Special Assistance
We offer the full range of our travel services to individuals requiring special assistance. We also do our best to make your travel with us as comfortable as possible. Should you require special assistance such as the use of a wheelchair, or should you have a medical condition requiring the supply of oxygen on board, we need to record this information in your travel booking. In certain situations an Air Canada doctor will need to contact your personal physician in order to ensure that all necessary precautions for your safety and enjoyment are made. This information will be forwarded to the airport staff as well as to the flight crew. In certain airports we outsource the ground handling to another airline. In this situation, we need to transfer our information to the handling airline. Should you need to transfer another airline, the requirement for special assistance may also be transferred so that the receiving airline can accommodate you as best as possible. Safety is always a top priority at Air Canada. To assure the safety of our passengers and crew we need to know of any special requirements for assistance. This allows us to plan and reserve the seating arrangements to maximize safety.
Unaccompanied Minors
Children between the ages of five and eleven may travel alone on Air Canada but they must be accompanied by Air Canada agents and flight attendants. The Unaccompanied Minor (UM) service must be requested at the same time the child's flight is booked by the parent / guardian. Upon arrival at the airport, you will be requested to complete 'a request for carriage' form. The information on this form identifies the child and their flight itinerary as well as the identification and contact names of the people meeting the child at the transfer points or final destination. We also require the name, address and a contact telephone number and authorizing signature of the parent or guardian authorizing the request for travel. This information is required in order to assure the safety of the child. From the moment they arrive at airport check-in, until they reach their final destination, all children are escorted and supervised by our staff. If the travel itinerary includes a transfer, ground staff will take care of the child and see him / her safely onboard the connecting flight. If the child's travel plans include another airline we must transfer the information so that the receiving airline may continue this safe and efficient process.
Frequent Flyer Numbers
As a customer of Air Canada you have the opportunity of accumulating points in one of a variety of frequent flyer programs. In order to automatically credit your account with these points the information needs to be forwarded to the administrator of the applicable frequent flyer program. This information includes time, date of flown segments, class of service and personal information that may include: name, address and phone number, in order to identify you. To fulfill these requirements we need to register your frequent flyer number on your booking.
Aeroplan
To reward the loyalty of its customers, Air Canada was one of the first airlines with a loyalty program. This program allows us to develop and recommend products and services based on an understanding of your interests and needs. This program enables our customers to accumulate points for segments flown on Air Canada or for services / products purchased from participating Aeroplan partners. These points are exchangeable for travel on Air Canada or on any of Aeroplan's partner airlines. To support this, the Air Canada Family* and Aeroplan partners are required to exchange information in order to ensure that your account is maintained and that miles are credited and debited correctly. The information exchanged is limited to what is required to meet this purpose. In addition, being an Aeroplan member makes it easier for you to book a flight. When you call Air Canada reservations and give your Aeroplan number, we can automatically transfer the information required to hold a flight booking from your Aeroplan account. Information such as your seating preference and choice of meal can be kept on your Aeroplan profile. To access your personal Aeroplan information on the Internet, we ask for your Aeroplan PIN. This is a security precaution to ensure that your information is safeguarded. A permanent PIN is sent by mail when you enroll in Aeroplan, or one can be requested through the Air Canada website.
Web Site
Air Canada's websites (www.aircanada-asiapacific.com / www.aircanada.ca) give you the benefit of self service from anywhere the internet is available. Information you exchange with us online is treated as securely as through any other business channel. We use industry standard encryption software (128 bit secure socket layer) that protects information as it is sent between your browser and our systems. And our data centers are protected by several layers of firewalls to ensure that only you can access your information.
In general, we require similar information online to that required to make a booking elsewhere. However, because we transact entirely through electronic means, we require a few extra pieces of information including gender and date of birth (for age-restricted fares).
Online Enrollment: If you want to apply for a PIN to use the website or to enroll in Aeroplan using our online form, you are required to provide the usual information described above. In addition, to allow you to retrieve your personal identification number (PIN) more easily we require your email address and a 'challenge question and answer' that you make up. For your convenience, you may optionally provide information such as your credit card number or seating preference.
Direct Email: Air Canada's direct e-mail service offers you the ability to receive targeted, timely notification of time sensitive offers. To sign-up for this service, we require you to provide us your country of residence and postal code. You may unsubscribe any time using the link provided on every email message.
* To better serve you, we at Air Canada have organized ourselves in different divisions or affiliated companies that we refer to collectively as the Air Canada Family. The Air Canada Family comprises Air Canada, Air Canada Regional Inc. (doing business as Air Canada Jazz), Touram Inc. (doing business as Air Canada Vacations), Aeroplan, and any other Air Canada division or affiliate, which may be created to provide services to customers.
